The usual order of an IT relocation

  1. Audit and plan

List every device with its asset number, map the new network room and desks, and decide what moves and what retires.

  2. Back up and test the backup

Make a full backup and prove you can restore it before anything is switched off.

  3. Shut down in order

Close applications, then servers, then storage, then network kit, and record the order for the restart.

  4. Label, photograph and pack

Label both ends of each cable, photograph each rack, and pack drives and servers in anti-static, padded packaging.

  5. Move and re-rack

Movers carry servers upright and padded; your IT team re-racks them to the photos.

  6. Start up and test

Bring up network, storage, servers and applications in order, then test every desk before staff arrive.

Moving servers and racks

Ask your hardware supplier whether a rack can travel with servers mounted. Many rack and server makers advise removing servers and moving them separately, because a loaded rack is heavy and vibration in transit can damage mounts and drives. If servers travel in the rack, the rack needs to be designed and packed for it.

Drives that hold business data should stay in your custody or move under a signed chain of custody. Ask the mover who will be with the equipment at each stage and whether the truck is ever left unattended.

What to ask a mover about IT equipment

  • Do you supply anti-static bags and padded crates for PCs, screens and servers?
  • Have you moved server racks before, and do you move them loaded or empty?
  • Who stays with the equipment in transit, and can the truck be locked and tracked?
  • What is your liability cover for electronics, per item, in writing?
  • Can you work overnight or over a weekend so systems are down for the shortest time?

What decides how long systems are down

Internet at the new office
A line that is not live on the day stops everything; order it weeks ahead.
Backup and restore
A tested backup turns a failed restart into an inconvenience rather than a crisis.
Labelling
Clear cable labels and rack photos cut reconnection time.
Phasing
Moving critical systems first, or running both sites briefly, can cut downtime further.

IT relocation questions

Answers for moving servers and IT equipment in Dubai.

Do movers disconnect and set up our IT?

Usually not. Most movers pack and move the hardware; your IT team or IT provider shuts systems down, reconnects and tests them. Some movers work with IT partners, so ask who does what in writing.

How long does an IT relocation take?

For a small office, the hardware move itself often fits into one evening or weekend. The planning, ordering of internet lines and testing take longer, so start weeks ahead.

Can servers be moved inside the rack?

Sometimes. Many makers advise removing servers and moving them separately. Ask your hardware supplier, and only move a loaded rack if it is built and packed for transport.

How do we keep data safe during the move?

Back up first, keep drives in your custody or under a signed chain of custody, and use a licensed data destruction company for drives you are retiring.
